0:12 – The advantages of setting up systems
One of the things I’ve been working on closely with some of my Savvy Mastermind members is the whole process of systemising your business. It’s really important to systemise your business for a couple of reasons.
One, it allows your business to be leveraged and scalable but it also gives you a saleable asset because if everything is in your head or in the heads of your employees and then you want to move forward and sell, it is really hard for you to do that.
So, there is a certain process that we follow when it comes to systemising your business and it is pretty easy and very straightforward.

This is a basic outline of what we go through:
1. First of all we talk about:
– what the process is – why we do it
– who is responsible for doing it
– when we do it
– and lastly, how it is to be done (this can involve a structure of videos or a sequence of steps which are written – it really doesn’t matter how you actually show how things are done).
2. The other thing I would like to suggest to you is that your business systemisation shouldn’t actually be something that is written and then printed out and put into a folder because they really should be quite organic. For this reason we use online cloud software to store our business and it’s a really great way to create almost like an intranet,
something that could be collaborated on. We also hold our team meetings and staff notes there with all our battle plans for the next 7 days. It really is a great way to be able to store things so that everybody can get access at any given time.
1:53 – The importance of systemising for your offshore staff
This is especially important if you have a team of people that work for you offshore – if you have outsource team members – because if somebody is away, or perhaps you lose a member of staff then it is very easy to ask someone else in your team to take over their roles and responsibilities and processes. Or, when you bring in a new member of staff you can just refer to them to your business systemisation and they can pretty much pick up where the other person has left off.
The other beauty of using outsource staff, or if you have team members (whether they are here with you in an office or whether they live overseas) is that you can actually ask them to be responsible for the business systemisation.
In other words, what I do is I actually ask my team members to systemise all the processes that they are responsible for because, as a business owner, I simply do not have time to go through and create all these business systems. I would spend my whole working life and my whole business life setting up business systems, which is not a very good use of my time.
So each week each of my team members understands that it is their role and responsibility to systemise at least one process in their role at a time. This is really important to know if you are at that point where you are just starting a business up, or perhaps you have been running it for a while and you haven’t even began to with systemisation.
If you are already in a business that has systemisation then you might not have to go at such a rigorous pace to get everything setup, but once it’s set up it’s set up and you only do the new business systems as things implemented.
3:28 – What areas of your business can you systemise?
The kinds of things you might systemise:
– obviously you will have systems around a chart
– around your marketing and sales
– you can have business systems around your KPIs
– you can have systems around administration
– around event management if you do events
– you can have systems around your digital management (how to manage your blogs, how to manage your digital assets)
…really, it’s up to you to what you choose to systemise. You have to sit down and look at all your key components to make sure that everything is recorded there.
